The Royal Netherlands Chemical Society (KNCV) attaches great importance to the protection of your personal data.
In this privacy statement, we explain how we handle your personal data, why we collect these data and what we do with them. We consider it important that your data is handled with care and ensure that the personal information you provide to us is treated confidentially.
The KNCV complies in all cases with the applicable laws and regulations, including the General Data Protection Regulation. This entails that we will in any case:

- Limited processing of your personal data to only those data that are minimally necessary for the purposes for which they are processed;

- Are aware of your rights regarding your personal data, wish to make you aware of them and respect them.
As KNCV, we are responsible for processing your personal data. If, after reading our privacy statement, or in a more general sense, you have questions about it or wish to contact us, you can do so via the contact details at the bottom of this document.
Processing personal data of KNCV members.
Personal data of members are processed by the KNCV for the following purpose(s):
- Administrative purposes;
- Communication about your membership of the KNCV;
- Sending our newsletter and the magazine C2W.
Basis for these personal data is:
- Membership of the KNCV and/or its sections.
For the above purpose(s), the KNCV may request the following personal data from you:
- Title;
- First name;
- Surname;
- (Business) Telephone number;
- (Business) Email address;
- Gender;
- Address and City;
- Date of birth (to determine membership fees);
- Employed by organisation;
- Bank account number (for direct debit contribution).
Your personal data will be stored by the KNCV for the aforementioned processing(s) for the period:
- For the duration of the membership of the KNCV and/or its sections and thereafter only in the financial administration for up to 10 years.
Communication
When you send us email or other messages, they are recorded in our systems and stored in accordance with the legal retention obligation. Sometimes we ask you for personal data relevant to the situation at hand. This makes it possible to process your questions and answer your requests.
Newsletter
Users can subscribe to the KNCV Newsletter, through which we inform interested parties about relevant developments. Your e-mail address will be added to the list of subscribers with your explicit consent. Each newsletter contains a link that allows you to unsubscribe. The newsletter subscriber file will not be provided to third parties.
Cookies
Cookies are small pieces of information stored on your computer by your browser. This website uses functional cookies that are necessary for the website to work properly. We also use cookies, for example, to analyse the use of the website and improve its user-friendliness.
Events and meetings
During events and meetings organized by the KNCV, photographs and/or video recordings may be made. These photos or videos may be published on kncv.nl, other KNCV websites or social media. By attending an event, you agree that photos or videos will be taken and may be published on the website and social media.
Social media and links to other websites
The website includes buttons to follow the KNCV on social media. These buttons are realized by code provided by the various social media companies themselves. Among other things, this code can place a cookie (see above). We have no influence on this and refer you to the privacy statements of the relevant social media organizations to read what they do with your (personal) data that they process via these cookies.
The website may also contain links to third-party websites. Although these website(s) have been selected with care, the KNCV bears no responsibility with regard to these third parties and their handling of (personal) data.
Provision to third parties
We may provide the data you provide to us to third parties if this is necessary for the execution of the purposes described above.
For example, we use a third party for:
- Hosting the membership records;
- Hosting the KNCV website.
With this party (processor) we have of course made the necessary arrangements to ensure the security of your personal data by means of a processor's agreement. Furthermore, we will not provide the data you provide to other parties. We never pass on personal data to other parties with whom we have not concluded a processing agreement.
Retention period
The KNCV does not retain personal data longer than necessary for the purpose for which it was provided or required by law.
Security
We have taken appropriate technical and organizational measures to protect personal data about you from unlawful processing. For example, we have taken the following measures:
- All persons who may learn of your data on behalf of the KNCV are bound to secrecy;
- We maintain a username and password policy on all our systems;
- We make backups of personal data in order to recover them in case of physical or technical incidents;
- We regularly test and evaluate our measures;
- Our employees are informed of the importance of protecting personal data.
Rights regarding your data
You have the right to access, correct or delete personal data that we have received from you. You can also object to the processing of all or part of your personal data by us or one of our processors.
Complaints
If you have a complaint about the processing of your personal data, please contact us directly. If we cannot work it out with you, we will of course find this very annoying. You always have the right to lodge a complaint with the Personal Data Authority, the supervisory authority in the field of privacy protection.
